[Formal and Informal]

WHAT IS A LETTER?

A letter is a written or printed communication addressed to a person or organisation, sent in an envelop and usually transmitted by mail.

HOW TO WRITE A FORMAL OR OFFICIAL LETTER

  1. Write the name or designation and address of the recipient on the upper left corner of the letter.
  2. Then write ‘Sir,/’Madam,’ just below the address of the recipient of the letter.
  3. Write ‘Sub:…,’ ‘Ref:…,’ at the centre of the letter just after the greeting.
  4. Then write the subject matter of the letter in a very short and simple sentence.
  5. Go straight to the subject matter without beating about the bush because directness and inambiguity form the essence of an official or formal letter.
  6. After writing the subject matter, end the letter with ‘Yours obediently,’ to your teacher and ‘Yours faithfully;’/’Sincerely yours,’ to others.
  7. After that write your full name and address.
  8. Write the date at the bottom left-hand side corner of the letter.

HOW TO WRITE AN INFORMAL LETTER

  1. Write the date and address of the sender at the top right-hand side corner of the letter.
  2. Then write the appropriate greeting, like ‘Dear Father,’/’Dear Sister,’/’Dear Pulak’, etc. at the top left-hand side corner of the letter.
  3. After that, write the body of the letter in simple sentences. It is to be written in multiple paragraphs.
  4. The concluding paragraph needs to have some connection with the topic of the letter. The last sentence may be about conveying love and respect to the family members.
  5. The letter should not end abruptly. It must end with certain polite subscription or leave-taking like ‘Yours affectionately,’/’Your loving son,/ Yours ever,’/’Your loving friend,’ etc.
  6. The signature or name of the sender comes below the subscription. You have to write the first name only.

With due respect I would like to inform you that we, the students of class X, are facing a great problem due to the incompletion of our syllabus. The Test examination is knocking at the door. A major part of the maths and physical science syllabi is yet to be taught. In other subjects, too, the revision has not yet been done. The problem has risen greatly because of the unwanted holidays all through the year. We need at least four classes per week in order to answer the questions given in the question bank, and to complete the remaining part of the maths and physical science syllabi.
I, therefore, earnestly request you to make arrangements for a few special classes from now on.

Sir,
With humble prayer I want to share my anxiety related to the dangers of plastic carry bags. Hope my letter will get a little place in your editorial column.
We are searching for cost friendly material for our benefit. So, we have forgotten earthen pots, paper bags, jute bags, etc. Everywhere there is the plastic. We have started to use it in every purpose. A number of plastic bags are floating here and there. But the problem created by them is alarming. Those are choking the sewerage system. So, in rainy season roads become waterlogged. Drains overflow spreading foul smell and causing dangerous pollution. When plastic is left on land it makes the land infertile. It separates the upper and lower level of soils. In the sea and ocean it creates danger for the sea animals. Some of the sea animals are already on the way to extinction because of such kind of pollution. So, without wasting any further time, plastic must be banned by imposing strict law. Then only we can save our environment. At the same time, substitute eco friendly materials like jute and paper should be used for making bags.
Thank you,

Sir,
Please allow me some space in your esteemed daily to express my concern about catching fishes using poison in the river and ponds of Jamalpur area. Over the last few months a handful of fishermen had been using some sort of poison, may be unwittingly. They did so for catching more fishes from the Damodar and ponds in our village. By doing so, they have been committing a grave crime. Fishes thus caught will surely cause health hazards for those who eat them. Besides, they have been contaminating the river and ponds. It will pose a threat to the ecosystem. Various aquatic species will surely be extinct because of such thoughtless activity. The local administration must arrange strict vigil immediately to stop this unscrupulous practice. We just cannot allow the greedy fishermen to kill us.

Sir,
Please allow me to express my grievance in your esteemed daily regarding reckless driving that causes accidents. Over the last few years the number of road accidents has been on the rise. The drivers of private buses and cars often engage in overtaking one another, without caring about the safety of the passengers or pedestrians on the road. The horrible condition of the roads adds fuel to fire. The traffic police are negligent of their duties. At times untrained drivers are given a license and this leads to increased possibility of accidents. Imposition of fines and seizure of vehicles or licenses are not the only solutions. The commission system for the drivers and conductors must be done away with as early as possible.

Sir,
Please allow me some space in your esteemed daily to express my concern about the bad effects of watching violence and crime on television. Most of us glue our eyes to TV sets day in and day out. As a result, we watch violent and criminal activities. They affect our mind to an unbelievable extent. Children and juveniles are mostly affected due to this. Children start becoming afraid and stop trusting any person. Being mentally sick, they may indulge in criminal activities. To stop this, the TV channels must stop telecasting violent and criminal scenes during prime time. Just for the sake of business, none should be allowed to deprive our children of their childlike innocence.

Sir,
Please allow me some space in your esteemed daily to of express my grievance regarding thoughtless use loudspeakers and sound boxes during different programmes and festivals. Almost all the programmes organized nowadays seem to aim at destroying our peace of mind. By using loudspeakers and sound boxes thoughtlessly, organizers cause sound pollution. Cardiac patients and students are the worst victims. Aged people lose their sleep. We have heard of rules and regulations about the time limit and decibel limit in this regard. But we hardly have seen any stem action to implement them. Unless the police and administration become active, this menace will keep growing day by day.

Sir,
It is a matter of grave concern that our young generation is becoming more and more addicted to mobile phones day by day. The instrument meant for easy communication is now used for taking a selfie and that too risking one’s own life. People are found crossing busy roads or a railway level crossing plugging the headphone of the mobile phone into his ears. Mobile phones have, undoubtedly, brought the distant nearer but at the cost of making friends and relations almost aliens. Man to man communication is on the wane. People are found busy chatting over or messaging through mobile phones. It causes distraction of young learners from their studies. Because of our abnormal addiction to mobile phones, few of us try to cultivate the habit of reading books. If it is not checked immediately, our future, our moral values, our social structure, everything will go to the gutters.
Under these circumstances, please take up your pen and make people aware of such bleakness through your editorial.

Sir,
Please allow me some space in your esteemed daily to express my concern about the skyrocketing of prices of Messential commodities. In recent times, prices of rice, dal, vegetables, fish, meat and edible oil have multiplied. Hardships of common people, especially the poor, have been increasing abnormally. Black marketeers create artificial crisis in supply. As a result, we have to buy our essential items paying exorbitant prices. It seems that the government has no proper planning to tackle the situation. No price limit has been imposed on any commodity.
Under these circumstances, the government must intervene in the market without any further delay. Otherwise, the poor will not be able to have even a square meal a day.

These are non-biodegradable commodities. As a result, they choke the drains and cause sewage problems. If burnt, they emit toxic gases causing air pollution. Thus the more we use these things the more serious becomes our danger. Our environment will be more polluted. Our planet will be less worthy of living. So, to save ourselves from such imminent danger, the use of plastic bags and plastic cups must be banned. In some reports, it is said that food or beverage put in such bags and cups becomes contaminated. Consumption of these things are injurious to health. People should be made more aware of all this. But, contrary to our expectations, the floors and walls of the city’s hospitals are shabby. You may find posters and slogans on these walls. Toilets are not regularly cleaned. People are forced to use such unhygienic toilets. Beds for the patients are equally dirty. Doctors are not always available. But their 24×7 hours service is needed. Instead, you may find dogs and cats here and there. Taking a dying patient to a government hospital may be fatal, because few staff are there to attend to the patient immediately. They behave rudely and dilly-dally while admitting a patient. The government must take immediate steps to improve upon such dismal condition.

One can find many objects of historical interest on the stamps. For example, I have an Egyptian stamp which bears the picture of a pyramid. A few stamps of Bangladesh has the pictures of Tagore. My dear Rubina,
I am happy to know that you are coming to visit our Murshidabad in December. If you come here, we will visit the nearby historical places, namely the Hazarduari Palace Museum, the Katra Masjid, the Motijheel Park, the Khosh Bagh, the Imambara, the tomb of Siraj-ud-Daulah and the like.
The Hazarduari Palace has about one thousand doors. It is only a kilometer away from the centre of the town. It was the fortress of the Nawabs. Then we will visit the Imambara. Nawab Siraj-ud-Daulah built it. Later it was burnt. The present Imambara was built in 1847. The Katra Masjid is a mosque and the tomb of Nawab Murshid Quli Khan. The town of Murshidabad was named after that Nawab. The Motijheel Park is a well-maintained and well-decorated park. The garden has a legacy of pre-colonial history of Bengal.
All these places are frequently visited by tourists from the country and abroad. Hopefully, within two or three days we can visit all such places.
I am keenly awaiting to enjoy the history of Bengal with you.

I am anxiously waiting for your safe arrival here. Perhaps you have heard of the horrible train accident which took place near Mourigram the day before yesterday. The down Jagannath Express collided with a stationary goods train. Five compartments of the train were derailed at once and badly damaged. According to the newspaper report, about one hundred passengers died on the spot and five hundred more were injured. They were admitted to the local hospitals. It was reported that wrong signalling caused this fatal accident.
I am very anxious about you as you will return by the same train next week from Puri. May the Almighty Jagannath guard you against all dangers.
With lots of love,
Yours ever,
Balaram
15. Write a letter to your friend who lives in Mumbai informing about the ‘Kanyashree Project’ undertaken by the West Bengal Government.
Own address ………….
Date ……………………..
Dear Preeti,
It was a great pleasure to receive your letter dated 20 July. You wanted to know about the ‘Kanyashree Project of the West Bengal Government. It is a grand ambitious social upliftment project undertaken by the Women Development and Social Welfare Department of West Bengal Government. It was initiated in 2011. Its goal is to ensure that girls study regularly to a minimum of H.S. level in the rural and urban areas. The secondary goal is to stop the cruel prospect of girls becoming school dropouts and victims of child marriage. Unmarried girls of 13 to 18 years of age will get an annual scholarship of ₹ 500 each if they continue with their school education. All unmarried girls of 18 to 19 years of age will get a one-time scholarship of ₹25000. And to our pleasant surprise, within a very short period this project has been able to reduce the gender bias as well as the number of school dropouts.
Yours lovingly,
Indrani
16. Write a letter to your pen friend about the festivals of Bengal.
Own address ………….
Date ……………………..
Dear Alejandro,
I have received your letter. From your letter, I have learnt about La Tomatina, celebrated in August. This kind of festival is celebrated in Bengal too. Here it is Dol or the festival of colours. It is celebrated in springtime.
Besides Dol, many other festivals are celebrated here. On the first day of the Bengali almanac we observe Haal Khata and Ganesh Puja. On this day customers are entertained by shopkeepers. In the rainy season we celebrate the Rath Yatra. People of all ages pull the rope of the chariot of Lord Jagannath. For us, autumn is the season of festivals. Durga Puja, Kali Puja, Laxmi Puja, Jagadhatri Puja etc. are observed during this season. Usually we all wear new clothes then. Besides, Muslims celebrate Eid Ul-Fitr and Eid Al-Adha. Christmas as well as New Year’s Day are observed in our state amid fun and frolic. So, it is said that the Bengalis celebrate thirteen festivals in twelve months. Apart from religious festivals, people here celebrate other festivals like Rabindra Jayanti (the birthday of Tagore). Independence Day, Republic Day etc. And for students like me, there is a festival called Saraswati Puja. On this day we all worship Saraswati, the goddess of learning.
Please come to Kolkata during the festive season and feel the true spirit of vibrant Bengal.
With love,
Your Kolkatan,
Pinaki
17. Write a letter ( in about 100 words) to your friend about the benefits of reading a good newspaper everyday. Use the following points:
Own address ………….
Date ……………………..
Dear Tapas,
From mom’s letter I have learnt that you do not like reading a newspaper. Instead, you are interested in watching TV programmes. But this is not a good habit. Benefits of reading a good newspaper daily are many. A good newspaper gives us many important pieces of information regularly. Here we learn about currents and cross currents of political and economic affairs, ups and downs in the playing field, latest discoveries of scientists etc. Besides, by reading a newspaper we may increase our vocabulary. A habit of reading also builds up. And, if you are interested about gossips and news of the tinseltown, then also you I have to read a newspaper daily.
So, to make your mornings more meaningful start reading a good newspaper from tomorrow.
With love,
Yours ever,
Arun
18. Write a letter to your younger brother living in a boarding house asking him to take preventive measures at the outbreak of dengue (within 100 words). You may use the following points:
Own address ………….
Date ……………………..
Dear Brother,
From the newspaper reports I have learnt that dengue has broken out in the area of your boarding house. However, you need not be panicked due to this. By taking a few simple steps, you may keep dengue at bay. You must keep the rooms and premises of the boarding house neat and clean. Don’t allow garbage and stagnant water in the premises. Don’t forget to use mosquito net while going to bed. Apply mosquito guard oil all over your body, especially at night. When you go out, put on full sleeved shirt and full pants. But remember, all your efforts will end in smoke if the people in your neighbourhood won’t follow this guideline. So, you must start awareness campaign in the locality. It will make your efforts full proof, at least to some extent.
With love,
Lovingly yours,
Dada
19. Write a letter to your friend describing your visit to a place of historical importance.
Own address ………….
Date ……………………..
Dear Kunal,
You will be delighted to know that last winter I got a chance to visit Delhi, a place of historical importance. Delhi offers a multitude of interesting places. In old Delhi, there are attractions like the Red Fort, Moti Masjid, and Qutab Minar. My parents were with me. We went to Raj Ghat and Shantivan. We also paid a visit to the notable attractions in New Delhi that include the Rashtrapati Bhavan, the India Gate, Humayun’s Tomb and the Purana Quila built by Humayun. We visited all these places in a tourist bus. I really enjoyed the trip very much.
With love and best wishes,
Yours ever,
Nagen
